Responsible for maintaining patient records and responding to requests for medical records. This role retrieves, requests, and sends images and links from the PACS system, supports report delivery issues, and ensures the accuracy, completeness, and timely release of medical documentation.
This position supports patients, providers, and internal teams and may float to other sites as needed.
Essential functions
- Prepare records for patient pickup or delivery to physician offices
- Respond to incoming calls and medical record requests
- Train and guide Medical Records Level 1 team members
- Provide clear, compassionate communication to patients
- Perform other duties related to medical records management
- Retrieve, organize, and maintain radiology records, images, and related documentation in electronic systems such as PACS and EMR
- Coordinate addendum requests with the facilitator
- Coordinate with radiologists, technologists, front-office staff, and external facilities to obtain prior imaging or documentation
- Follow safety, privacy, and HIPAA regulations while maintaining confidentiality and proper patient identification
Requirements & Qualifications
Education
- High school diploma or GED
Experience
- Minimum of 1 year of work experience, preferably in a medical office or hospital setting
Knowledge, skills, and abilities
- Knowledge of medical terminology and radiology filing systems
- Knowledge of HIPAA and privacy regulations
- Proficiency with computer systems and medical records software
- Ability to multitask and prioritize in a high-volume, fast-paced environment while maintaining accuracy and organization
- Strong communication skills for in-person and phone interactions with patients, referring offices, physicians, technologists, and other staff
