Account Specialist

The West Clinic

The Account Specialist is responsible for managing assigned patient accounts from initial billing through resolution to a zero balance. This role requires strong analytical and accounting skills to assess payments, adjustments, and discrepancies while maintaining communication with patients and insurance carriers. The position also requires adaptability to changing insurance rules and requirements to ensure accurate and timely account resolution.

Responsibilities include:

  • Assess payments and adjustments on patient accounts for accuracy and take appropriate action on overpayments, underpayments, or non-payments
  • Resolve billing issues and inquiries from insurance carriers and patients via phone, fax, or mail
  • Process daily mail from insurance carriers and patients, including payment discrepancies, charge errors, and correspondence
  • Process credit balances according to established procedures
  • Compile and submit medical records and supporting documentation to facilitate reimbursement, appeals, and pre-payment reviews
  • Collaborate with Coding, Medical Records, and Patient Representatives to verify coding, resolve denials, and address insurance issues and pre-certifications
  • Communicate with insurance companies and patients regarding billing and reimbursement inquiries
  • Maintain confidentiality and respect for patients at all times
  • Maintain professional attendance, attitude, and appearance
  • Comply with clinic safety policies and procedures
  • Participate in staff meetings as scheduled
  • Assist with training and orientation of new employees as assigned
  • Perform other duties as assigned
Requirements & Qualifications

Required qualifications:

  • Associate’s degree or equivalent from a two-year college or technical school, or equivalent combination of education and experience
  • Two to three years of related experience and/or training

  • Ability to establish and maintain effective working relationships within The West Clinic
  • Proficiency in computer applications including word processing and email
  • Ability to perform 10-key by touch
