Reimbursement Specialist – Medical Payment Reconciliation

Under general supervision of the Director of Business Office Services, the Reimbursement Specialist is responsible for managing patient balances and accurately posting insurance payments and adjustments to charges.

The role works closely with registration, billing, financial navigators, and collection agencies to support the medical office's revenue cycle and patient account follow-up.

Key responsibilities include:

  • Registering new patients, verifying coverage, and updating insurance and billing information
  • Providing backup support for registration and financial navigation
  • Explaining billing policies, procedures, and insurance benefits to patients
  • Monitoring self-pay balances and patient payment plans
  • Reviewing patient accounts, statements, returned mail, and aged balances
  • Contacting patients regarding outstanding balances and preparing accounts for collections when needed
  • Posting payments and adjustments from insurance, patients, and other payers
  • Reviewing EOBs and ERAs and reconciling payment discrepancies
  • Running daily balancing reports and correcting issues before day close
  • Researching overpayments and issuing refunds as directed
  • Maintaining confidentiality and supporting a collaborative healthcare team
Requirements & Qualifications
  • High school diploma or equivalent
  • Previous experience in a medical office, registration, billing, payment posting, or collections role
  • Working knowledge of Microsoft Word and Excel
  • Must complete EPIC training and pass required tests
  • Strong attention to detail, problem-solving, and critical thinking skills
  • Basic knowledge of manual and computerized accounting and billing systems
  • Excellent math, verbal, and written communication skills
  • Ability to work independently, handle multiple tasks, and meet deadlines in a fast-paced environment
