Behavioral Health Medical Records Specialist

Become an Assembler! We are seeking a motivated team member who is client-focused, action-oriented, and committed to excellence and integrity.

You will support the medical records submission process for insurance claims and work closely with billing, AR, leadership, insurance companies, and healthcare providers.

Your responsibilities include:

  • Collecting, organizing, and preparing medical records and supporting documentation for insurance claim review.
  • Supporting claims submission by coordinating medical record documentation for third-party payers.
  • Reviewing documentation for accuracy, completeness, and compliance before submission.
  • Coordinating with providers and internal teams to obtain missing information or clarification.
  • Ensuring all submissions comply with HIPAA, payer-specific guidelines, and other regulatory requirements.
  • Tracking claim follow-up related to medical record requests and documenting confirmation of receipt.
  • Maintaining communication with leadership, billing and collections staff, insurance companies, and healthcare providers.
  • Organizing and securing submitted records for audits and reviews.
  • Generating reports on submission status, delays, denials, and documentation issues.
  • Assisting with training and guidance for billing and AR staff on documentation and follow-up procedures.
  • Identifying process improvement opportunities and helping implement best practices.
  • Performing additional duties as assigned.
Requirements & Qualifications

Qualifications

  • Associate’s degree in health information management, medical billing, or a related field preferred.
  • 2 to 4 years of experience in medical records management, billing, or a related role with a focus on third-party billing and insurance claims submission.
  • Strong understanding of medical records documentation, insurance billing processes, and HIPAA compliance.
  • Excellent organizational, communication, and problem-solving skills.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Proficiency with electronic health records (EHR) systems and billing software.
  • Ability to work in a fast-paced and sometimes stressful environment.
  • Ability to sit for prolonged periods and lift up to 10 pounds occasionally.
