The Records Management Specialist supports the Health Information Management department and reports to the HIM Operations Manager. This role is responsible for maintaining records systems for Parrish Healthcare, coordinating patient portal support, assisting with closed chart documentation processes, and supporting records retention and destruction workflows.
Key responsibilities include:
- Coordinating the patient portal process, including patient education, customer support, and troubleshooting access issues
- Providing timely electronic access to personal health information for patients and caregivers
- Supporting patient portal marketing efforts and monitoring portal utilization goals
- Assisting with the amendment process and processing the Closed Chart Worklist
- Managing records retention activities, including on-site and off-site record destruction and maintaining destruction logs
- Maintaining updated logs of records stored off-site for retrieval purposes
- Educating and training departments on records destruction processes
- Preserving confidentiality of protected health information and following HIPAA requirements
- Maintaining the integrity of the Master Patient Index by identifying and merging duplicate patient records
- Performing related duties as assigned
- Following fire, disaster, and safety procedures relevant to the work area
Requirements & Qualifications
Education
- Associate degree required
- High school diploma or GED may be considered with more than 5 years of relevant experience in lieu of an associate degree
- Bachelor’s degree preferred
- Preferred major: Health Information Management or a related field
Experience
- 2 to 3 years of relevant work experience
Certifications
- RHIT or RHIA preferred
- Other job-related certification approved by Human Resources and Health Information Management may be considered
