Medical Records Coordinator

Health Plus Management

Health Plus Management (HPM) is a physician support organization specializing in clinical practice management for physical medicine and rehabilitation. The company supports independent physician practices with business development, marketing, and back-office operations across the Northeast.

The Medical Records Coordinator is responsible for creating, retrieving, and updating patient-related information in accordance with company policy to support smooth patient flow and office operations.

Responsibilities

  • Pull and review charts prior to appointments to ensure medical records are on file
  • Obtain outside records for review before office visits
  • Prepare complete medical records for the billing department as requested
  • Create chart folders, including labeling and hole punching
  • Review charts to confirm patient demographic information is complete and accurate
  • Prepare patient charts with demographics, previous x-rays, tests, and related documents
  • Process release-of-information requests, organize documents, and scan records into electronic systems
  • Collect paperwork and authorizations needed for billing
  • Scan information into the patient's electronic record
  • Maintain patient confidentiality in accordance with HIPAA guidance
  • Perform other administrative tasks as assigned

Schedule

  • Monday through Friday, 8:30 AM to 5:00 PM
Requirements & Qualifications

Required / Preferred Qualifications

  • 1+ years of medical administrative experience preferred
  • Knowledge of medical terminology and procedures preferred
  • Experience with an EMR system preferred
  • Familiarity with plaintiff, defendant, and third-party requests, and HIPAA requirements for release of PHI preferred
  • Strong computer skills, including Microsoft Word and Excel
