Support veterinary programs by coordinating the intake, review, organization, and maintenance of medical records, invoices, diagnostic reports, and related documentation. This role serves as a central hub for veterinary documentation across the organization, helping ensure records are accurate, accessible, and properly routed to support veterinary care, reimbursement workflows, and cross-departmental operations.
Key responsibilities include:
- Coordinate veterinary medical records and related documentation from multiple sources
- Maintain standardized processes for document management across systems and departments
- Upload and update records in appropriate systems, including Salesforce
- Monitor documentation flow and follow up on missing or incomplete records
- Route invoices and reimbursement documentation to the appropriate staff
- Support procurement and documentation workflows
- Provide administrative support such as tracking, filing, scanning, and document handling
- Collaborate with Veterinary, Puppy Raising, Accounting, and other operational teams
Qualifications and skills needed:
- Experience in administrative support, records management, veterinary clinic operations, or medical documentation processing preferred
- Prior experience in an animal care environment highly desirable
- Strong organizational skills and exceptional attention to detail
- Ability to manage high volumes of time-sensitive documentation from multiple sources
- Proficiency with Microsoft Office Suite and database/CRM systems such as Salesforce
- Excellent communication and customer service skills
- Ability to work independently and collaborate across multiple departments
- Strong follow-through and problem-solving skills for incomplete or complex documentation
- Comfort working in a fast-paced environment with competing priorities
- Ability to perform filing, scanning, and extended computer-based work
