Medical Records, Central Supply, and Nursing Department Scheduler

Summary

The Medical Records/Central Supply/Scheduler position is responsible for creating new medical records by gathering appropriate record folders and content, assigning and recording new record numbers, verifying existing record numbers, inputting and recording locations in the computer, and delivering records. This role also maintains the nursing department schedule and orders medical supplies as needed for the nursing department.

Essential Duties and Responsibilities

  • Order and stock medical supplies for the facility in a timely manner.
  • Gather patient information from multiple sources, including registration areas, physicians' offices, and automated printers.
  • Initiate medical records by creating and processing the patient care record folder.
  • Maintain record availability by processing charts into the department and using chart mark-off procedures.
  • Retrieve medical records using chart-out procedures and document reasons charts cannot be retrieved.
  • Keep health care providers informed about the availability or unavailability of records.
  • Ensure nursing stations are stocked with the necessary supplies.
  • Organize nursing stations on a weekly basis.
  • Organize rented equipment such as beds and wheelchairs and return it when not in use.
  • Perform other duties as assigned.
Requirements & Qualifications

Qualifications

  • Qualified Medication Aide preferred.
  • High school diploma or equivalent required.
  • Previous scheduling experience desired.
  • Strong oral and written communication skills.
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Ability to multitask, prioritize, and work under pressure.
  • Professional appearance and demeanor.
  • Ability to be resourceful, tactful, and proactive in addressing issues.

Physical Demands

  • Must be able to move intermittently throughout the workday.
  • Must be able to cope with the mental and emotional stress of the position.
  • Must be able to push, pull, move, and/or lift at least 25 pounds to a minimum height of 5 feet and carry that weight at least 50 feet.
  • May be required to assist in the evacuation of residents during emergency situations.
