Medical Records Specialist

Witherite Law Group

Responsible for managing and organizing medical records and related documents for ongoing personal injury cases, particularly those involving motor vehicle accidents. The role includes ordering and following up on medical, billing, and radiology records, verifying subrogation liens, maintaining accurate records in the case management system, and preparing files for Case Managers and Paralegals.

Key responsibilities include:

  • Order medical records, billing records, radiology imaging, and related documents with and without affidavit.
  • Follow up on pending records bi-weekly, pay invoices, and schedule couriers.
  • Upload and save all records received to the case management system as they arrive.
  • OCR and redact client records for Case Managers and Paralegals.
  • Search for subrogation liens, including hospital, Medicaid/care, and child support liens.
  • Verify balances for medical providers for demands or mediation.
  • Manage a large caseload, emails, checklists, and deadlines.
Requirements & Qualifications

Minimum qualifications and skills include:

  • At least 2 years of experience, preferably in a plaintiff personal injury law firm.
  • Strong verbal and written communication skills for phone, in-person, and email communication.
  • Excellent time management, multitasking, and critical thinking abilities.
  • Proficiency with Microsoft Office Suite and case management software; Needles preferred.
  • Knowledge of personal injury law involving motor vehicle accidents.
  • Strong organizational skills and exceptional attention to detail.
  • Professional appearance and behavior.
  • Ability to maintain discretion with confidential information.
