Medical Records Clerk

Neighborhood Health Association

Performs clerical and administrative functions to support providers, medical staff, and support staff in the delivery of medical care. Responsible for maintaining patient records in an accurate, organized, secure, and readily retrievable manner. Assists with patient referrals, release of information requests, data collection, and the generation and/or submission of audit and other reports.

Key duties include:

  • Supporting patient care delivery through clerical and administrative tasks
  • Documenting and returning phone messages and calls as needed
  • Managing internal and external patient referral processes
  • Handling requests for information, releases of information, and medical records requests
  • Scanning, faxing, emailing, or mailing records to requesting agencies and physician offices
  • Indexing and tracking laboratory work, procedures, testing, dictation, and other medical data in the EHR
  • Locating missing information and reports not currently in the medical record
  • Pulling purged charts for audits
  • Performing general clerical tasks such as copying, filing, organizing, emailing, and faxing
  • Assisting with transcription services and potentially scribe duties if trained and assigned
  • Helping ensure accurate and complete documentation for revenue generation and insurance-related inquiries
Requirements & Qualifications
  • High school diploma or GED required
  • Medical records technician certification, or current certified/registered medical assistant with at least 1 year of office or clinical experience
  • Working knowledge of medical terminology
  • Knowledge of medical records practices, HIPAA, and utilization management
  • Ability to maintain patient confidentiality
  • Strong organizational, communication, writing, and listening skills
  • Ability to work under demanding clinical circumstances with professionalism and emotional intelligence
  • Sensitivity to cultural, religious, and ethnic diversity
