Job Summary
The Health Information Management Specialist is responsible for assisting with the daily functions involving the collection, processing, maintenance, disclosure, and transportation of protected patient health information in paper and/or electronic format in compliance with organizational, departmental, and regulatory requirements. The role also helps ensure that health data is accurate, complete, accessible, confidential, and secure.
Work Schedule
Monday-Friday, 8:00 AM-4:30 PM. Hybrid schedule; details discussed during the interview.
Job Duties
- Perform record management tasks to input, retrieve, and release patient information while maintaining accuracy, timeliness, and compliance.
- Verify, update, maintain, and retrieve patient health information for authorized personnel.
- Protect the privacy and security of medical records.
- Monitor data integrity, research and merge duplicate medical records, and identify/correct patient overlays.
- Perform patient name and demographic changes and follow deceased-patient marking processes.
- Prepare, scan, and index protected patient health information documentation in the electronic medical record.
- Follow quality measures for scanned documents.
- Respond to requests for release of protected patient health information and ensure appropriate information is released.
- Upload and burn external CDs/DVDs and print or digitize films as requested.
- Perform radiology film library functions and communicate with patients and department staff.
- Review patient health information and process medical records requests in compliance with organizational standards and HIPAA regulations.
- Answer inbound calls, document and route customer communications, and resolve basic concerns.
- Monitor and process referral letters in the EPIC letter queue and ensure notes are attached.
- Review communication manager and EPIC phonebook information, and work failed faxes through RightFax.
- Mail referral letters and maintain daily and monthly production totals.
- Re-analyze medical records for completeness and apply deficiencies as needed.
- Coordinate suspension processes and prepare analysis for discharged patients.
- Uphold department standards, professionalism, and customer service expectations.
Requirements & Qualifications
Education and Experience
- High school diploma or equivalent.
- Proof of a completed vocational certificate or degree supporting the Health Information Management field.
- 1 year of health care experience required.
- 2 years of health care, business, and/or HIM experience may be accepted in lieu of the vocational certificate.
- Additional education in HIM, business, or a related field may be considered in lieu of experience.
