Part-Time HIM/Medical Records Clerk

The HIM Clerk supports the Health Information Management Department through clerical, technical, and related support services.

Hill Crest Behavioral Health Services is a free-standing psychiatric hospital serving adolescents and adults in the Birmingham community. The facility includes acute inpatient, residential, and group home settings.

This role requires availability to attend an 8-business-day orientation from 8:00 a.m. to 4:00 p.m. without interruptions.

Essential Duties

  • Answer phones and route messages courteously and professionally.
  • Initiate medical records at admission, discharge, or transfer.
  • Maintain approved medical record format and ensure documents are filed correctly.
  • File loose documents such as labs, diagnostic reports, and transcribed reports into patient medical records.
  • Monitor supply levels for forms used in the medical record and order more when needed.
  • Ensure blank forms such as physician orders and progress notes are available for use.
  • Reduce documentation in charts according to policy and send records to the HIM department with discharges.
  • Break down medical records at discharge and deliver them to the HIM department.
  • Assist with clinically related activities under the supervision of RNs and LPNs when requested.
  • Follow attendance guidelines and participate in mandatory unit meetings.
  • Demonstrate knowledge of National Patient Safety Goals and applicable accreditation and regulatory standards.
  • Perform other duties as assigned.
Requirements & Qualifications

Qualifications

  • High school diploma or GED required.
  • Knowledge of medical and psychiatric terminology preferred.
  • Familiarity with common office equipment and standard software applications.
  • Strong communication skills, both verbal and written.
  • Ability to multi-task effectively.
  • Strong organization, computer, and technology skills.
  • Ability to attend an 8-business-day orientation from 8:00 a.m. to 4:00 p.m. without interruptions.
