HIM Associate II, Vital Records

Piedmont

Responsible for the accurate and timely registration of birth, fetal death, and inpatient death certificates in accordance with applicable federal, state, and local regulations.

This role helps ensure a positive patient experience and supports compliance with internal and external reporting requirements.

Key responsibilities

  • Register live births within five days of delivery.
  • Register fetal deaths within 72 hours of delivery.
  • Register inpatient deaths within one business day of death notification.
  • Interview patients and collaborate with state officials to complete fetal death certificates accurately.
  • Serve as a liaison between the hospital and funeral homes.
  • Monitor Epic work queues for name changes and pending death certificates.
  • Respond to parental inquiries within one business day.
  • Facilitate paternity acknowledgments in compliance with state regulations.
  • Send secure birth confirmation emails to both parents on the date of registration.
  • Submit original paternity acknowledgment forms to the Georgia State Office of Vital Records.
  • Maintain and securely store original birth worksheets and paternity acknowledgments for at least two years.
  • Communicate professionally with internal and external stakeholders.
  • Participate in webinars and training provided by the Georgia Department of Public Health's Vital Records Division.
  • Comply with Piedmont Healthcare policies, procedures, and standards.
  • Complete mandatory training and educational sessions on time.
  • Perform other duties as assigned.
Requirements & Qualifications

Minimum education

  • High school diploma or GED

Minimum experience

  • Two years of experience in Health Information Management (HIM) within an acute care setting, or
  • Graduate of a Health Information Management program

Additional qualifications

  • Prior experience with Epic EHR preferred
  • Prior experience with infant, fetal, and death certificate registration preferred
  • Proficiency in medical terminology
  • Strong written and verbal communication skills
  • High attention to detail and organizational skills
  • No licensure or certification required
