The EMR Specialist is part of a Health Information Management team focused on maintaining the integrity, accessibility, and compliance of patient health records. This role supports patient care by ensuring accurate, efficient, and policy-driven handling of medical records and release of information workflows.
Key responsibilities include:
- Work assigned record pull lists within the EHR and retrieve paper medical records from hospital archives.
- Complete facility rounding to collect documentation for discharged patients.
- Sort and reconcile charts and documents for downstream processing.
- Follow up on outstanding record requests, archival issues, rounding issues, and legacy medical record concerns.
- Scan paper documents into the scanning/imaging software and EHR.
- Review electronic document imaging queues to ensure proper indexing and mapping.
- Review scanned images for quality and accuracy against mapping/indexing standards.
- Re-index documents and perform page-to-image comparisons as needed.
- Review, reconcile, resolve, and approve images in document imaging work queues.
- Approve scanned documents for accuracy in preparation for physical document destruction.
- Greet customers and callers, explain record release authorization requirements, and process phone, fax, mail, and walk-in requests.
- Assess record requests and scan/log them into the EHR system.
- Apply HIPAA rules, regulations, policies, and procedures to record release situations.
- Collect monies related to on-site release of information invoices and related financial processes.
- Maintain turnaround-time metrics and accuracy standards.
- Escalate record release issues through the appropriate chain of command to avoid missed deadlines.
Requirements & Qualifications
Required qualifications
- High School Diploma or GED.
- 3+ years of equivalent work experience with similar assignments and responsibilities.
- No RHIT or RHIA licensure required at this level.
- Excellent analytical and customer service skills.
- Strong working knowledge of HIPAA requirements.
- Familiarity with acute care medical records and the hospital regulatory environment.
- Ability to complete skills validation, competency testing, and productivity metrics/goals.
- Ability to multitask and work independently with limited supervision.
- Ability to drive/travel to multiple locations or facilities as needed.
Preferred qualifications
- RHIT licensure.
- Associate degree.
- Experience with EPIC EHR and/or Hyland OnBase scanning applications.
