Responsible for managing a variety of medical staff meetings and projects, including complex administrative assistant duties and office procedures.
Serves as a liaison between medical staff members, Campus Officers, centralized medical staff services, other hospital departments, and administration.
Coordinates and supports medical staff activities at the campus location, ensuring efficient office operations and successful execution of assigned projects.
Key responsibilities include:
- Coordinating the campus medical staff master calendar and managing all meeting logistics, including scheduling, room reservations, food, tele-video conferencing, agenda preparation, and minute-taking.
- Maintaining confidential records of proceedings, forwarding recommendations and follow-up items, and submitting minutes to the System Medical Staff Office.
- Supporting communication regarding medical staff affairs and serving as a liaison with medical staff, hospital administration, and leadership.
- Supporting the Campus Chief of Staff and other Campus Officers with correspondence, calendars, meetings, and incoming calls.
- Monitoring and facilitating compliance with system processes, medical staff bylaws, and rules and regulations.
- Conducting required campus orientation for new physician and allied health applicants.
- Convening the Annual Campus Nominating Committee and completing nomination reports.
- Performing other duties as assigned.
Requirements & Qualifications
Qualifications and required experience:
- Bachelor's degree in Nursing, Health Care, or a related field required.
- 1+ years of administrative support experience in a healthcare setting required.
- Strong organizational skills and attention to detail.
- Intermediate computer skills, including Microsoft Word, Excel, Outlook, and PowerPoint.
- Knowledge of primary source verification processes and procedures.
- Ability to transcribe and proficiency in medical terminology.
- Excellent verbal and written communication skills.
- Strong interpersonal, leadership, and analytical skills.
- Ability to work independently or in a team environment, prioritize projects, problem-solve, and manage workload professionally.
- Commitment to pursue relevant certification within a specified timeframe.
- Demonstrated experience in meeting management and minute taking preferred.
- Certified Professional Medical Staff Management (CPMSM) preferred.
