The Health Information Management (HIM) Specialist acquires, analyzes, and protects digital and traditional medical information to support quality patient care. This role coordinates release of information requests, processes subpoenas and other records requests, supports patient pre-visit planning, and ensures accurate scanning, indexing, and electronic filing of medical documents. The position also handles medical records workflow, tracking, reporting, and patient documentation management in accordance with HIPAA and organizational policies.
Key responsibilities include:
- Maintain the integrity, privacy, and confidentiality of protected health information (PHI)
- Assist requesters with release of medical record information
- Process continuity of care requests, subpoenas, court orders, attorney requests, disability forms, audits, insurance requests, and other documentation
- Send invoices for prepayment to attorney and insurance copy requests
- Log and track release of information (ROI) requests and forms in the EHR
- Create and run reports in database applications to support provider scheduling and patient visit planning
- Retrieve external medical reports and file them into the EHR for patient-centered care
- Track referrals and ensure referral information is entered into the EHR
- Prep, scan, index, and assign medical forms to the correct document categories
- Perform quality assurance checks on scanned and electronic medical records
- Retrieve and return charts from off-site storage
- Sort and distribute incoming and outgoing mail and process faxed documents
- Provide customer service for walk-in, phone, and email inquiries
- Train coworkers and provide coverage as needed
- Meet turnaround time and performance metrics established by management
Required and preferred qualifications include:
- High school diploma or GED required
- Certificate in medical office administration preferred
- Associate degree in Health Information Management preferred
- RHIT credential preferred
- Minimum of 1 year of experience in Health Information Management, medical records, or medical office work required
- Experience with EMR systems and medical terminology preferred
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- Strong customer service skills in person and by phone
