The Scheduling Coordinator is responsible for scheduling and monitoring teams of remote field staff across multiple states. This role supports patient appointment scheduling with TapestryHealth providers, coordinates field staff to facilitate telehealth visits in SNF and acute care facilities, and maintains staff and provider schedules. The position also works with other departments to forecast and plan future scheduling and staffing needs.
Responsibilities include:
- Scheduling, rescheduling, and canceling patient appointments as needed
- Proactively identifying and resolving scheduling conflicts
- Continually assessing staffing needs
- Keeping stakeholders informed of scheduling changes and responding to scheduling questions via email, phone, or Teams chat
- Maintaining professional relationships with clients, team members, and outside vendors
- Preparing patient charts for upcoming provider appointments
- Preparing spreadsheets for insurance scrubbers
- Supporting EHR password maintenance processes
- Maintaining insurance scrub list requests and password checks to support the scrub process
- Supporting the IPV reconciliation process, including closing appointments, deleting notes, managing patient opt-outs, and patient reconciliation
- Providing coverage for the scheduling supervisor as needed
- Performing other duties as assigned
Requirements & Qualifications
Qualifications include:
- High school diploma or equivalent
- Experience in the health care field
- Exceptional organizational skills and the ability to multitask
- Technical proficiency with computers and applications
- Proficiency in Microsoft Word and basic Excel
