We are seeking a dedicated and detail-oriented Scheduler and Medical Records Specialist to join our team at Emerald Lakeview. This role is responsible for managing staff schedules to ensure optimal coverage for patient care, while also supporting medical records requests and processing in a long-term care environment.
The position is based in an office setting within a clinical environment and reports to the DON in the Nursing Administration department.
Key Responsibilities
- Create, manage, and adjust staff schedules to ensure adequate coverage for all shifts, including weekdays, weekends, and holidays.
- Collaborate with nursing, administrative, and support staff to address scheduling conflicts, shift swaps, and time-off requests.
- Ensure schedules comply with labor laws, regulations, and facility policies.
- Serve as the primary point of contact for staff regarding scheduling issues and provide timely resolution.
- Generate and analyze scheduling reports to monitor staffing levels, identify trends, and support management decisions.
- Assist with onboarding new staff members and provide training on scheduling procedures as needed.
- Coordinate emergency staffing needs and communicate with temporary staffing agencies if required.
- Use scheduling software and Microsoft Office tools to streamline scheduling processes.
- Support patient and outside entity requests for medical records.
- Retrieve, collect, prioritize, track, and process medical records requests, releases, and authorizations in the electronic medical record.
- Verify the legitimacy, accuracy, and authority of requests and process and invoice as appropriate.
- Assist residents, staff, and affiliates with medical records questions and requests.
Requirements & Qualifications
Qualifications
- High school diploma or equivalent required.
- Associate's or bachelor's degree in business administration, healthcare management, or a related field preferred.
- Previous experience in scheduling or administrative roles, preferably in a healthcare or long-term care setting.
Skills
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency with scheduling software and Microsoft Office Suite, including Excel, Word, and Outlook.
- Ability to work independently and manage time effectively.
